Kajabi Automations for Therapists and Coaches: What to Set Up and How

There's a phrase I have complicated feelings about: 'set it and forget it.' In online business it gets used to sell the dream of passive income and zero effort, which is, let's be honest, mostly nonsense.
But here's where it genuinely applies: Kajabi automations. Not for your whole business. Not for the bits that need your presence and your expertise. But for the repetitive, administrative, rules-based tasks that should not be requiring your brain at 9pm.
Let me show you what that actually looks like.
Kajabi Automations for Therapists and Coaches: What to Set Up
Kajabi's Automations feature (found in the left-hand menu of your dashboard) lets you create 'if this happens, do that' rules that run without you. Here are the ones I most often set up for therapist and coach clients.
When someone buys your programme
Send a welcome email sequence, grant access to the relevant product, and tag them in your contact list. All three happen automatically, the moment someone purchases.
When someone completes your course
Send a congratulations email with a next-step offer. This is a lovely moment that often gets missed when things are done manually, because life gets busy.
When a subscription expires or a payment fails
Trigger an email that lets the client know and offers a way to reconnect. Saves you the awkward manual chase.
When someone opts in to your email list
Start a welcome sequence that introduces who you are and what you offer. First impressions matter, even in an inbox.
How Kajabi Automations work
Automations use three components: a trigger (the 'if this happens' part), optional conditions (filters to narrow who it applies to), and actions (the 'do that' part). You can chain multiple actions together. Once active, they run without you.
That said, do check in on them periodically. An automation that made sense six months ago might need updating as your business evolves.
